Refund Policy
When fees are refundable, when they aren't, and how to ask. This page summarizes the terms in your signed agreement with Vera Digital Media LLC. Last updated: Sep 30, 2026.
1. How this policy works
Every project starts with a written agreement that sets out your scope, fees, and milestones. This policy explains the refund and cancellation terms in that agreement in plain language. If this page and your signed agreement differ, your signed agreement applies.
2. Deposits and payments
Depending on what's offered in your quote, a project is either paid in full upfront or split into a 50% deposit on signing and the remaining 50% at handoff. Your agreement states which applies. Work starts once the deposit, or the full payment, arrives. We release the final files, including full-resolution, editable, and source files, once the full fee is paid. Before then, we may share previews or watermarked versions.
A deposit, or a full upfront payment, reserves time in our team's schedule. Neither is refundable once work has started, but it counts toward what you owe if the project ends early.
3. If you end a project early
If you end a project early for your own reasons, you pay for the work completed up to that date, measured against the milestones in your agreement, plus any third-party costs we have already committed. Any deposit or payment you've made counts toward this amount.
Once you've paid what you owe, you receive the work completed and paid for, in its current state.
4. If we end a project because of something you did or didn't do
The same terms as section 3 apply. You pay for the work completed up to that date, plus committed third-party costs, and any deposit or payment you've made counts toward that amount.
5. When you're entitled to a refund
- If you end a project because of something we did or didn't do, we refund any fees you've paid for work not yet completed.
- If someone claims a final deliverable infringes their rights because of something we did, we will change the deliverable so it no longer infringes, get the right for you to keep using it, or refund the fees you paid for that deliverable. We choose which, at our cost.
6. Studio Partner (ongoing work)
Studio Partner has a three-month minimum term. It is a commitment, not a trial, and can't be canceled early, except where we seriously break the agreement and don't fix it. Each month's work is planned in advance, and unused capacity doesn't roll over or convert to a refund. Terms after the first three months are set out in your agreement.
7. How to ask
Email hello@veradigitalmedia.com with your project name and what you'd like to discuss. We reply within one business day. If a refund is due, we confirm the amount and how it will be paid in writing.
8. Your legal rights
Nothing in this policy limits any rights you have under consumer law where you live.
