Vera Digital Media LLC, a New Mexico limited liability company ("Vera", "Vera Digital Media", "we", "us"), is a creative studio offering brand identity, web design, video production and digital illustration. We are the controller of the personal information described in this policy.

2. Information we collect
Information you give us:
- Contact form and inquiry details: name, email address, phone number, company, and your message.
- Project information: briefs, brand assets, files, feedback and approvals you share while we work together.
- Billing information: business name, billing address and payment details handled by our payment providers.
- Marketing preferences: whether you have asked to receive updates and offers.
Information collected automatically: pages visited, referring page, browser and device type, approximate location from your IP address, and cookie identifiers.
3. How we use it
- To reply to inquiries, prepare scopes and quotes, and book calls.
- To deliver, manage and invoice the services you order.
- To operate, secure and improve this website.
- To send you updates, offers and marketing, as described in section 4.
- To meet legal, tax and accounting obligations and to resolve disputes.
4. Marketing and offers
With your consent, or where the law otherwise allows, we may email you news, promotions, service offers and studio updates. Every message includes an unsubscribe link, and you can also opt out at any time by writing to hello@veradigitalmedia.com.
Information you submit through a form is used to answer that request. We add you to a marketing list only if you ask us to or agree to it. We do not sell your personal information.
5. Legal bases
Where UK or EU data protection law applies, we rely on: your consent (marketing and non-essential cookies); performance of a contract (delivering services you order); our legitimate interests (running and improving our business, replying to inquiries, keeping our systems secure); and legal obligation (tax and accounting records).
6. Who we share it with
We share information only as needed with: service providers that host our website, send email, store files, manage our client portal and CRM, and process payments; freelancers and contributors working on your project under written confidentiality terms; professional advisers; and authorities where required by law. If Vera is involved in a merger or sale, information may transfer to the new owner under this policy.
7. International transfers
Our team is based in the Philippines and we serve clients in the United States, United Kingdom, Australia and the Philippines, so your information may be processed in several countries. Where required, we use safeguards such as standard contractual clauses or the UK International Data Transfer Agreement.
8. Cookies and analytics
We use essential cookies to make the site work. With your permission, we also use Google Analytics, a web analytics service provided by Google, to understand how the site is used, such as which pages are visited and how visitors arrive. Analytics cookies are only set after you choose "Accept all" in our cookie banner, and nothing is sent to Google Analytics if you choose "Reject non-essential".
We have turned off Google signals and ad personalization, and we anonymize IP addresses. You can change your choice at any time by clearing this site's data in your browser, which shows the cookie banner again. You can also opt out of Google Analytics across all sites with Google's browser add-on. Blocking some cookies may affect parts of the site.
9. How long we keep it
Inquiries that do not become projects: 24 months after our last contact. Client project records and invoices: 7 years or as tax law requires. Marketing contacts: until you unsubscribe, then a suppression record so we do not contact you again. We delete or anonymize information when it is no longer needed.
10. Your rights
Depending on where you live, you may have the right to access, correct, delete, restrict or object to our use of your information, to receive a copy in a portable format, and to withdraw consent at any time. Residents of certain US states, the UK, the EU and the Philippines have specific rights under local law. To use a right, email hello@veradigitalmedia.com. You may also complain to your local data protection authority.
11. Security
We use reasonable technical and organizational measures to protect your information, including access controls and encrypted connections. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.
12. Children
Our services are for businesses and adults. We do not knowingly collect information from anyone under 16.
13. Changes
We may update this policy from time to time. The date at the top shows the latest version, and we will tell you about significant changes by email or on this site.
